The task

In order to send employees abroad, countless forms have to be filled out, information provided and bureaucratic hurdles overcome. Whether a trip is notifiable or not, which certificates or visas are required for the posting and which reporting deadlines need to be observed is almost impossible for a layperson to understand due to the large number of international regulations and special features.

Previously, our client handled the processes largely by telephone & e-mail or post, collected documents in a shared drive and carried out checks manually.

Our task was to automate the core business of reporting EU travel and bundle it in one platform.

Our solution approach

The plans for Easy Travel were big right from the start: to create a portal that can map all of our customer's business areas relating to business travel.

In order to achieve this long-term goal, we focused on solid frameworks and easy expandability in the architecture of Easy Travel. This enabled us to integrate a large number of new features after the launch of the MVP (Minimum Viable Product) and thus expand the application step by step: for example, by adding document management, a messaging function that has enabled communication away from telephone & e-mail, or the connection of various interfaces from end customers, with which users and trips can be imported automatically.

An important component here is the powerful rights system, with which various roles can be operated and at the same time special rules for the special requirements of the numerous end customers can be integrated.

Dashboard

The dashboard serves as a central point of contact for all users. The most important information for each user role can be found here. For a traveling employee, for example, an overview of the latest travel checks and open visa applications. For an HR employee, a map with an overview of all employees currently on secondment. And for administrators, an overview of passports and visas that are due to expire soon.

Send & receive messages

The chat is the central point for communication in Easy Travel. Whether questions about special cases in travel checks, requesting or sending documents for reports, or reminders about missing information: Here, the entire exchange between travelers and processors is process-related - e.g. for a report to be made - and remains traceable and structured, e.g. by automatically assigning documents to the corresponding process.

The unstructured sending of e-mails back and forth, with manual filing of files in a shared drive, is now a thing of the past.

Interfaces, imports and more

Due to the regular changes to reporting conditions, but also due to large end customers who manage travel for thousands of employees via the platform, automated imports of large data records and the connection of external interfaces, for example to SAP, are essential for a platform of this size. Easy Travel therefore has an import API. On the one hand, this enables manual imports - of users or reporting conditions, for example. On the other hand, it also enables the regular import of large data records, the automated execution of travel checks and the subsequent reporting of results to end customer employees.

Visa-Beantragungen

Thanks to the architecture designed for expandability, we were able to add numerous additional functions to Easy Travel after the first version went live. Probably the largest of these is another of our customer's business areas: visa checks and applications.

Change tracking

Data in Easy Travel is changed regularly to keep everything up to date. Being able to track these changes is not only important for compliance reasons, but also creates trust in the platform. This is because a user can see at any time which data has been changed, when this change was made and who made the changes - be it an HR employee, administrator or automatic data import.
